THE VI BOOKING SYSTEM

CONTACT
A diary of everything that’s happening in the Large and Small Halls is kept by the Booking Secretary.
A weekly timetable is produced and pinned to the notice board in the main entrance of the VI, so that everyone can see what’s happening and when it’s happening, and the Caretakers can prepare the halls for the various activities that are taking place.

Regular users provide their dates in advance to be put into the diary and also inform of any occasions when they will not require the halls.  They are sent an invoice in order to make regular payments.
Ad-hoc bookings
Please email info@vernoninstitute.org.uk to request to book a date for an event. 

You will be asked to fill in a booking form and return it, with a deposit to secure the booking and the hall hire fee paid at least two weeks before your event. 
Payment is either by bank transfer and the booking form and payments are collated by our Treasurer to cross-reference with bank statements.  Once the event has taken place, the Caretaker will inspect for breakages, damage and cleanliness, and will inform the Treasurer that the deposit can be refunded in full or can be partially refunded  or cannot be refunded. If a full refund is not being made we will have been in touch to explain why before we make the final decision.
TEMPORARY EVENT NOTICE – TEN
The VI has a licence for regulated entertainment but not for alcohol.

You will need to apply for a TEN if you wish to hold a temporary event / function at the VI for alcohol sales.

Applications must be received by Cheshire West & Chester Council at least 10 working days before the event is due to take place. There is a fee payable.

If applying online, responsibility lies with the Licensing Authority to serve copies of the application to the relevant authorities i.e. the Council and the Police.

USING THE VI
​ 

Users must only use the hall that they have booked, along with its associated kitchen, plus access to, and use of, the toilets.

If users are leaving the premises during the evening, they need to be aware that residential neighbours live close by, and that keeping as quiet as possible is really appreciated.


USER GUIDE
 


The VI is a Community venue and is a Charity run by Trustees and a Management Committee. 

It is fortunate enough to be able to employ a Caretaker and an assistant Caretaker who maintain the venue, prepare the halls for the various activities which occur each week & put out tables and chairs for events etc.


LARGE HALL
There is a Large Hall and a fully equipped kitchen (with fridge & hot water urn) with serving hatch
suitable for a maximum of :
140 people – general use          80 people – seated for a meal          100 people – theatre layout​

SMALL HALL
There is also a Small Hall and kitchen (with access to the main kitchen) with serving hatch
suitable for a maximum of :
80 people – general use          48 people – seated for a meal          60 people – theatre layout.

OTHER ROOMS
There are two Ballet Studios on the first floor accessed from the conservatory corridor by the Ladies toilets, and there is a Snooker Room on the first floor accessed from the main entrance by the Gents toilets via a coded lock for members only.  There is a disabled toilet with baby changing facility.
A separate building houses the Tearoom, which is usually open from 9am – 4.30pm every day except Mondays ( and Sundays in the Winter).
OUTSIDE SPACES
Preschool have a dedicated paved outside Play Area accessed from the end of the large hall.
There is a Community Garden area between the main VI building and the Tearoom, which is used by Preschool during school time and by the Tearoom at other times, but is available for any other Community use when Preschool are not in session.  This area is accessed by Preschool via a ramp from their dedicated paved outside Play Area, and by the Tearoom and other Community users from the VI car park.

The VI car park is private and is solely for the use of patrons of the VI & Tearoom, unless by prior arrangement.  There are four parking spaces dedicated to the four Vernon Institute Cottages and these are numbered.  There are three disabled parking spaces.
The area immediately outside the main entrance is for emergency vehicles and must not be obstructed.

There is level access through the main entrance door to access the large hall, and a ramp into the small hall adjacent to the outside toilets.  There is level access into the Tearoom and Community Garden.
FIRE ESCAPE ROUTES & ASSEMBLY POINT
From the Large Hall – via the side double doors and through the Conservatory Corridor to the fire exit doors facing the car park.

From the Small Hall – via the fire exit door facing Church Road (steps down outside this door).
From the Preschool dedicated paved outside play area – up the ramp through the Community Garden to the double gates onto the car park (school times only).

From the Tearoom – via the Tearoom entrance door.
From the Tearoom kitchen – via the Community Garden to the double gates onto the car park.
